PROGRAM MANAGER

The Program Manager will work with the Executive Director to coordinate, manage, and execute programs and events, grant and re-grant management and additional activities. This individual will work on a variety of event-based programs, including single and multiple day programs; conferences; webinars; and more. In addition, they’ll manage granted fellowships that will require grant management--such as tracking, funding distribution; and executing reports. The individual will be required to track & prepare applications; attendee listings & management; full run of show development including catering, general logistics, & rsvp's; scheduling meetings & appointments; developing & executing announcements; and more. It is critical to have knowledge and experience in working with outside funded programs.

Three to five years, minimum, of full time experience in an arts organization working on events and programs, along with grant management knowledge, is required. - Required three to five years, minimum, of full time experience in an arts organization working on events and programs

FULL JOB DESCRIPTION IN DETAIL

- Manage all stages of program/event logistics including negotiations, schedules, payments, marketing and contracts

- Coordinate with clients, including members, attendees, partners, hosts, speakers, and guests

- Hire caterers, A/V, transportation, accommodation, photographers, and volunteers

- Prepare and disseminate marketing materials for website, social media, news postings, eblasts, paid and in-kind postings and advertisements, and overall outreach

- Track, manage and oversee registration details and associated fees

- Coordinate production schedules, contact sheets, statistics and trends

- Prepare and manage event budgets in coordination with Executive Director

- Administer and monitor applications, present coordinated information for vetting submissions, oversee communications, notify awardees, and distribute funding for fellows and grant recipients

The Association of Art Museum Curators Foundation

- Execute programs/events, including pre, during and post event details

- Write, prepare and manage interim and final grant reports

- Work with the Executive Director and Graphic Designer to produce program/event collateral

- General office duties and other projects as needed

COMPETENCIES & QUALITIES

- MAC platforms for office programs, particularly adept at excel

- Use of platforms such as zoom, submittable, google docs & sheets, gotowebinar, calendar

management and more

- Event planning & negotiations

- Digital marketing, including basic photo editing & e-communications

- Office skills in email, phone, fax, scanning, and shipping, including FedEx

- Time Management

- Ability to communicate clearly & concisely, in a timely & consistent manner

- Discretion

ADDITIONAL INFORMATION

- Salary is based on experience, and is anticipated in the $56-60k range with a generous benefit

package

- The position is 40 hours a week with occasional evening and weekend work and travel, within

the US and Canada.

- There is a full benefits package

- The offices are located in NYC, and there is not relocation funding available.

- The individual will join the Executive Director, Consultant and Contract individuals, and an Administrator in a quiet office setting in NYC.
